CRM for coaches

Coach, don't chase.

A CRM for coaches should make it easier to manage prospects, sessions, client work and the next follow-up. This comparison covers coaching platforms and small-business client systems, with notes on what each handles well, where the fit narrows and what its provider publishes about price.

Quick picks

These are starting points, not a universal ranking. If your work is mainly selling coaching packages, prioritize checkout and scheduling. If you coach teams or track agreed actions between sessions, look closely at client workspaces and accountability features. For a broader look at the work after a coaching conversation, see client follow-up for coaches and coaching session follow-up. Our CRM overview explains the difference between a CRM and a follow-through assistant.

How we compared them

This is not a feature-count contest. The useful CRM for coaches is the one that supports your actual client journey without making you maintain a second system. I compared each provider's own product and pricing pages for:

The comparison table is a quick map. Pricing and included features can change, and some providers show different monthly and annual rates or limits by plan. Follow the linked official pricing page for the current terms.

Practice

What it's for: Practice has presented itself as a system for client-based businesses, including coaches. Its site describes organized client records, scheduling, payments, client portals, file storage, forms and contracts. However, during this check, the main site and a pricing URL were not accessible, and a third-party migration page says Practice.do is closing. Treat it as a check-before-choosing option.

Strengths: Practice's own product content describes an appealing spread for a solo coaching business: scheduling, package payments, client records, shared files, forms and client communication in one place. Its coaching article also describes scheduling controls and post-session forms.

Trade-offs: I could not verify current signup availability, support status or current plan pricing from accessible pages on Practice's own site. The closing claim comes from a third party, not Practice's own announcement. If you rely on Practice today, check the provider's current status and export options before changing your process.

Pricing as published: Check Practice's current availability and pricing directly; I could not verify a current price. Product details above reflect previously published descriptions of its client-management and coaching organization features.

Paperbell

What it's for: Paperbell is designed around running a coaching business. Its official pricing page lists a coaching website, client scheduling, payment processing and packages, client portal, contract signing, client email workflows, forms, group coaching, secure client notes, digital downloads and calendar integration.

Strengths: The offer is easy to understand if you want one place to publish coaching packages and handle a client's path from booking to payment. Paperbell lists unlimited clients and sessions and says all features are included in its single plan. That flat structure can be easier to budget than per-client pricing.

Trade-offs: A broad, all-in-one setup may include more business tooling than you need if you only want a contact list and reminders. Paperbell also does not give you the same configurable, multi-stage workflow focus as a general service-business platform. Check how its package and client-note model matches your coaching method.

Pricing as published: The pricing page lists $57 per month or $570 per year, with two months free on annual billing. See Paperbell pricing for current details.

Satori

What it's for: Satori is a coaching-specific platform with areas for marketing, client care, scheduling and billing. Its pricing page describes Essentials for new coaches and says it supports booking discovery sessions and up to 10 active paying clients on that plan.

Strengths: The provider positions Satori around coaching practices rather than a generic sales CRM. Its pricing page says only active clients count toward billing, and standard PayPal or Stripe transaction fees still apply to client payments. A 15-day trial is offered without a credit card.

Trade-offs: The plan-price details are not exposed in the text version of the current pricing page I could inspect, so compare the live monthly and annual choices yourself. Its marketing language is broad; test the client workflow you care about, such as session preparation, notes and what clients can access between meetings.

Pricing as published: See Satori pricing for the current plan prices. The page currently describes a 15-day trial; I could not verify a paid amount from its published page text.

Dubsado

What it's for: Dubsado is a business management platform for service providers. Coaches can use it for prospect intake and the administrative steps around client work, including forms, contracts, invoices, payment plans and client portals.

Strengths: The Starter plan includes unlimited projects and clients, invoicing, payment plans, form and email templates, client portals, calendar connection and lead capture. Premier adds advanced scheduling, automated workflows, public proposals and bookkeeping and Zapier options. A 21-day trial of Premier is listed without a credit card requirement.

Trade-offs: Dubsado's flexibility means you need to configure the processes to suit your coaching practice. It is organized around managing a service business and client projects, rather than a coaching-specific method for goals and accountability. Scheduling and automated workflows require Premier.

Pricing as published: Dubsado lists Starter at $35 per month or $335 per year, and Premier at $55 per month or $525 per year. See Dubsado pricing for plan limits and current terms.

HoneyBook

What it's for: HoneyBook is client relationship software for small businesses. It can fit coaches who handle prospects, proposals, contracts, payments and client projects and want those steps in one workflow.

Strengths: Its Starter plan includes unlimited clients and projects, invoices and payments, proposals and contracts, a calendar, templates and a client portal. Essentials adds a scheduler, automations and SMS reminders. That can cover both lead-to-client admin and ongoing business work.

Trade-offs: HoneyBook is broader than coaching delivery. Its published feature list does not center session reflection or coaching accountability, so coaches who need structured goals and between-session work may want a coaching-first platform. Payment processing adds a fee: card fees start at 2.7% plus 10 cents, and ACH starts at 1.5% (see HoneyBook pricing).

Pricing as published: Starter is listed at $29 per month billed yearly; Essentials at $49 and Premium at $109 per month billed yearly. The page also lists card processing fees. See HoneyBook pricing for current billing options and details.

Simply.Coach

What it's for: Simply.Coach is a digital coaching platform for solo coaches, multi-coach businesses and organizational programs. The solopreneur page lists 1:1 and group coaching, booking pages, survey forms, client management and coaching journeys.

Strengths: Its feature comparison describes session notes and reflection, action plans, goal planning, client workspaces, forms, nudges and stakeholder management. The entry plans cap the number of individuals coached, while higher plans expand capacity and add calendar options, branding and more reusable programs and contracts.

Trade-offs: Plan limits matter: the displayed Starter allows three individuals and the Essentials plan seven. Some options, such as automated invoices, are marked as coming soon on the feature matrix. Its breadth can also be more than a solo coach needs if all you want is a simple client list and appointment calendar.

Pricing as published: On the annual pricing view, Starter is US$9 per month, Essentials US$29, Growth US$49 and Leap US$69. The displayed client limits are 3, 7, 30 and unlimited, respectively. See Simply.Coach pricing for solopreneurs and confirm monthly rates and regional pricing.

CoachAccountable

What it's for: CoachAccountable is a coaching platform built around supporting the coaching process and client progress. The company describes it for individual and group coaching as well as team and organizational use.

Strengths: Its active-client model can make costs track a coach's current roster rather than total historical records. The provider's pricing page says every plan is fully featured, inactive clients can retain access to their records, and coach and administrator accounts are included. A 30-day trial is available.

Trade-offs: The monthly price rises as active client count grows, so estimate cost at your expected caseload rather than focusing on the entry plan alone. Evaluate the client-facing workflow and the amount of structure it adds; it may be a bigger coaching platform than a coach needs for basic contacts and scheduling.

Pricing as published: The provider lists $20 per month for 2 clients, $40 for 5 and $70 for 10, with higher tiers as the active client count grows. See CoachAccountable pricing for the full schedule.

Where Teriara fits today

Teriara is an early-access private assistant for what follows a conversation. Live today, it drafts follow-up messages after calls and meetings for you to review, edit and send. It can also prepare reply drafts, people pages, a morning briefing and a brief before calls. Nothing is sent without you.

Teriara is not a full coaching CRM today. A CRM that updates itself from conversations is early access, and connections to the platforms above are planned. If you need client records, booking, payments or session notes in a single system now, choose a platform that offers those features today. If keeping up with follow-through is your main concern, see our coaching follow-up guide and session follow-up notes and email templates.

The right CRM for coaches depends on whether your priority is running the business, supporting the coaching journey or remembering to follow through after the conversation. Our CRM overview can help you decide which problem you need a tool to solve first.

Frequently asked questions

What is the best CRM for coaches?

The best fit depends on the work you need the software to carry. Compare scheduling and payments if you sell packages, and compare goals, session notes and action plans if your coaching includes structured between-session work.

Do coaches need a CRM or coaching software?

A CRM is useful for organizing contacts and business opportunities. Coaching software may also support client sessions, goals, resources and accountability; pick based on whether client delivery or lead management takes more of your time.

Is there a free CRM for coaches?

Several tools in this category offer a free trial, but a trial is not the same as a free ongoing plan. Check each official pricing page for current free options, trial length and client limits before entering your client records.

Is Dubsado a CRM for coaches?

Dubsado can manage client projects and business processes such as forms, contracts, invoices and workflows. It is a general service-business platform, so check whether its project setup fits your coaching practice and whether you need Premier for scheduling or automation.

What is the difference between CRM for coaches and consultants?

The core contact and opportunity tasks overlap, but coaches may also want session notes, goals and between-session action tracking. Consultants may put more weight on proposals, project handoff and status updates; a platform can serve both if it supports the process you actually use.
