Use the fields below to make a short message specific. You do not need every field in every text. Usually, the person's name, the reason you are writing and one clear question are enough.

Keep the text to one purpose. If you need to explain terms, attach a document or share sensitive information, ask whether email or a call is better. Use text only when the person expects or has agreed to that channel, and follow your organization's policies and applicable contact rules.

After sending an estimate:
Hi Jordan, I sent the kitchen estimate this morning. It includes cabinet painting and the new hardware option we discussed. Would you like me to clarify either option, or is there a better time to check back?
This follow up text message sample gives context, adds a useful detail and leaves the next step with Jordan. Change the question if you already agreed on a check-in date. Avoid implying that a quote expires or a schedule is filling unless that is accurate.
Follow-up text message after no response
Hi Jordan, checking back on the kitchen estimate I sent Tuesday. Is there anything you'd like me to explain, or would you prefer I close this out for now? Either answer is helpful.
One considerate follow-up after a reasonable interval is often enough. If the person asked for more time, use the date they gave you. If they decline or ask you to stop, respect that and close the loop.
How to use the template
- Choose the reason for writing. Are you confirming a detail, delivering something promised, checking whether a message arrived, or asking about a next step? Let that purpose shape the text.
- Use the right timing. Follow up when you said you would. If you did not set a date, consider the urgency and give the other person time to respond. A quote may need a different cadence than a showing or a routine client check-in.
- Add a true detail. Refer to the question, property, estimate or decision you discussed. Check names and facts before sending. Do not create urgency to get a reply.
- Ask one easy question. Offer a short choice, a yes-or-no question, or an invitation to suggest another time. Avoid several questions in one text.
- Read it as the recipient. Make sure the sender is clear, the request makes sense without extra context, and the message is respectful if the answer is no or later.
- Record the next step. If they reply with a date or ask you to send something, note who will do what and when. If there is no answer, follow your stated process instead of sending repeated nudges.
Texts work well for a concise question or coordination. Use email for a fuller recap or attachments, and use a call when the topic needs discussion.
